(2) Collection and processing of personal data when using the contact form

When using our website for informational purposes only, i.e. if you do not register or otherwise submit information to us, we collect the following data, which is technically necessary for us to display our website to you and to ensure stability and security:

Type and scope of data processing:

On our website, we offer you the opportunity to contact us via a form provided. As part of the process of submitting your request via the contact form, reference is made to this privacy policy to obtain your consent. If you make use of the contact form, the following personal data of yours will be processed:

  • Your salutation
  • Your first and last name
  • Your company name
  • Your email address
  • the country you are staying in
  • as well as the attached image file.

At the time the message is sent, the following data will also be stored:

  • Your IP address
  • Date and time of dispatch of the message.

Alternatively, you can contact us via the email address provided contact@ushio-ine.com. In this case, the user's personal data transmitted with the e-mail will be stored.

In addition, you can contact us via the telephone numbers provided. If individual telephone calls are recorded for quality assurance or documentation purposes, we will inform you of this before the start of the call. A recording will only be made if you have given your express consent in advance (Art. 6 (1) (a) GDPR). In the event of contact by telephone, we might collect the data that you provide to us or that is automatically transmitted with your call as part of conversation notes. These include, among others: Your name, your request and your telephone number.

The processing of the personal data from the input mask serves us solely to process the contact. In the event of contact by e-mail, this also constitutes the necessary legitimate interest in the processing of the data. The other personal data processed during the submission process serve to prevent misuse of the contact form and to ensure the security of our information technology systems. In this context, the data will not be passed on to third parties. The data is used exclusively for the processing of the conversation.

Legal basis for data processing:

Storage beyond that is possible in particular if it is still required for pursuing our rights or for other legitimate interests of ours. For your usage data which was collected in the course of your use of the website, this means that we will store it only for the time still required for the proper functionality of our website and as long as we still have a legitimate interest. Statistical information will be primarily stored by us in pseudonymous form. Beyond that, we still store your data for as long as we are required to do so by law. This concerns in particular the tax-law requirements to keep records, usually for 6 or even 10 years.

Possibility of objection and removal:

If the user contacts us by e-mail, he can object to the storage of his personal data at any time. In such a case, the conversation cannot be continued. In this case, all personal data stored in the course of contacting us will be deleted.

(3) Collection and processing of personal data when using cookies

Type and scope of data processing:

When you use our website, we use technical aids for various functions, in particular cookies, which can be stored on your device. When you visit our website and at any time later, you have the choice of whether you want to allow the setting of cookies in general or which individual additional functions you want to select. You can make changes in your browser settings or via our consent manager. In the following, we first describe cookies from a technical point of view, before we go into more detail about your individual choices by describing technically necessary cookies and cookies that you can voluntarily select or opt out.

Cookies from a technical point of view:

Cookies are text files or pieces of information in a database that are stored on your hard drive and associated with the browser you are using, so that certain information can flow to the entity that sets the cookie. Cookies cannot execute programs or transmit viruses to your computer, but are primarily used to make the Internet offer faster and more user-friendly. This website uses the following types of cookies, the functionality and legal basis of which we will explain below:

  • Transient cookies: These, in particular session cookies, are automatically deleted when the browser is closed or by logging out. They contain a so-called session ID. In this way, various requests from your browser can be assigned to the shared session and your computer can be recognized when you return to our website.
  • Persistent cookies: These are automatically deleted after a specified period of time, which is defined differently depending on the cookie. You can view the cookies set and the duration at any time in the settings of your browser and delete the cookies manually.

Technically necessary cookies:

The technical structure of the website requires us to use techniques, in particular cookies. Without these techniques, our website cannot be displayed (completely correctly) or the support functions could not be enabled. These are basically transient cookies that are deleted at the end of your website visit, at the latest when you close your browser. You cannot opt out of these cookies if you want to use our website. The individual cookies can be found in the Consent Manager. The legal basis for this processing is Art. 6 para.1 sentence 1 lit. f GDPR.

Optional Cookies

Miscellaneous cookies (e.g. for the use of Google Analytics) are only set after you have given your consent, which you can select on your first visit to our website via the so-called cookie consent tool. The functions are only activated with your consent and can be used in particular to enable us to monitor visits to our website. We use cookies to analyse and improve our website, to make it easier for you to use them via different browsers or devices, to recognise you when you visit them or to place advertising (possibly also to orient advertising to your interests, to measure the effectiveness of advertisements or to show interest-based advertising). The legal basis for this processing is Art. 6 para.1 sentence. 1 lit. a GDPR. You can withdraw your consent at any time without affecting the permissibility of the processing until the withdrawal.

We describe the functions we use, which you can select and revoke individually via the Consent Manager, below.

Use of Google Analytics

This website uses Google Analytics, a web tracking service provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. ("Google"). The purpose of our use of the tool is to enable the analysis of your user interactions on websites and to improve our offer through the statistics and reports obtained and to make it more interesting for you as a user.

We collect the interactions between you as a user of the website and our website primarily through the use of cookies, device/browser data, IP addresses and website or app activity. Google Analytics also collects your IP addresses to ensure the security of the service and to provide us as a website operator with information about the country, region or location of the respective user (so-called "IP location determination"). For your protection, however, we of course use the anonymization function ("IP masking"), i.e.h. that Google shortens the IP addresses within the EU/EEA by the last octet.

Google acts as a processor and we have concluded a corresponding Data Processing Agreement with Google. The information generated by the cookie and the (usually abbreviated) IP addresses about your use of this website are usually transmitted to a Google server in the USA and processed there. For data transfers to the US, Google says it has signed up to the EU-US Data Privacy Framework (DPF), which ensures an adequate level of data protection. We have also agreed so-called standard contractual clauses with Google, the purpose of which is to maintain an adequate level of data protection in the third country.

The legal basis for the collection and further processing of the information is your consent (Art. 6 para. 1 sentence 1 lit. a GDPR). You can withdraw your consent at any time without affecting the permissibility of the processing until the withdrawal. The easiest way to revoke this is via our consent manager or to install Google's browser add-on, which can be accessed via the following link: https://tools.google.com/dlpage/gaoptout?hl=en.

For more information on the scope of services of Google Analytics, please visit https://marketingplatform.google.com/about/analytics/terms/us/

Google provides information on data processing when using Google Analytics under the following link: https://support.google.com/analytics/answer/6004245?hl=en&sjid=7149786604475975893- EU.

General information on data processing, which according to Google should also apply to Google Analytics, can be found in Google's privacy policy under https://policies.google.com/privacy?hl=en&gl=de.

Google Tag Manager

We use Google Tag Manager provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland.

Google Tag Manager is a tool that allows us to integrate and manage various tags, such as tracking or analytics tools, on our website via a centralized interface. The Tag Manager itself does not create user profiles, store cookies, or conduct independent analyses. It merely facilitates the deployment and administration of tools that may, in turn, collect data.

Google Tag Manager processes your IP address, which may also be transferred to Google LLC, the parent company in the United States. When cookies or access to information on your device (e.g., via device fingerprinting) are involved, this will only occur based on your consent, provided such consent has been requested. Any consent you provide can be withdrawn at any time.

The use of Google Tag Manager is based on our legitimate interest in the efficient, secure, and simplified integration and management of tags on our website (Art. 6(1)(f) GDPR). Where consent is required for storing cookies or accessing device information, processing is based on Art. 6 para. 1 lit. a GDPR and § 25 para. 1 TDDDG.

Google Tag Manager respects any cookie preferences you have set. If you have disabled cookies, this decision will automatically apply to all tracking tags deployed through the Tag Manager, ensuring that your preferences remain unchanged.

Google may, in certain cases, ask for permission to share limited product usage data (e.g., contact details) with other Google services to enable features such as simplified implementation of conversion-tracking tags in Google Ads. Google may also analyze aggregated usage information to improve the product. However, such data is not shared with other Google products without your explicit consent, and Google Tag Manager itself does not use any data collected by the tags it deploys.

When using this provider, data may be transferred to the United States. Such transfers are legally safeguarded either through Google’s certification under the EU–US Data Privacy Framework (DPF) or through the use of EU Standard Contractual Clauses where required. Companies certified under the DPF commit to complying with European data protection standards. Further information about Google’s DPF certification is available at: https://www.dataprivacyframework.gov/participant/5780

We have concluded a data processing agreement with Google under which Google processes personal data solely on our behalf, in accordance with the GDPR and our instructions. Further details can be found in the Google Ads Data Processing Terms available at: https://business.safety.google/adsprocessorterms/

Additional information can be found in Google’s user guidelines (https://marketingplatform.google.com/intl/de/about/analytics/tag-manager/use-policy/)  and the privacy policy (https://policies.google.com/privacy?hl=en-US) applicable to Google Tag Manager.
